The phased approach, and why we recommend it

Toowoomba unified facility management across a large regional council. What is instructive is the sequencing: community facilities went live first, fully integrated, before further business areas followed in later phases.

That is deliberately not a big-bang cutover. A single business area, done properly and integrated with finance from the start, gives staff a working system and gives the project a reference point inside the organization. Every subsequent phase is then an extension of something colleagues already use rather than another promise.

Integrated from the first phase

The first phase included the finance system integration, receipting and single sign-on. This is the part agencies are tempted to defer, and deferring it is usually a mistake. If rental revenue does not reconcile automatically from day one, someone builds a manual workaround, and manual workarounds outlive the projects that created them.

  • Finance integration. Rental revenue and receipting posting to the finance system rather than being re-keyed from a report.
  • Single sign-on. Staff signing in with their existing credentials, which removes an entire category of access administration.
  • Public access. Residents booking and paying online, on the council's own site, rather than by phone and counter visit.
