Why internal booking matters more than it sounds

It is the half of the utilization number you cannot currently see.

When a council member asks whether a building earns its operating cost, the answer is wrong if internal use is invisible. Putting staff bookings on the same diary is what makes the utilization report honest.

Casual rental, regular allocations and payment collection run through separate portals on one platform, with Azure single sign-on for staff, so routine internal requests flow through self-service and staff attention goes to the complex rentals that need judgment.

  • Staff identity is separate. Staff sign in through your identity provider. Resident accounts are a different population by design, so an internal booking never appears on the public portal.
  • Permissions by department and function. Who can book what, who can approve, who can override and who can see a rate. Set down to facility and function level.
  • Internal cost allocation. Where your finance team allocates internal room cost between departments, the platform records it and feeds it through to your general ledger. Where it does not, internal use is simply free and still counted.
  • Precedence rules. Whether a paying renter or an internal training session takes precedence in a dual-use room is your policy, applied consistently.
  • Same audit trail. Internal bookings carry the same record of who changed what and when as public ones.

Do internal bookings cost us anything?

No. Staff accounts, resident accounts and booking volume are not metered. Adding every department changes nothing about your subscription.

Can internal users see public rates?

Only if you permit it. Rate visibility is a permission, so a department booking a room internally does not necessarily see the commercial rental rate.

Does this replace Outlook or Teams for meetings?

No. It books the room and the resources. Your calendar and meeting tools stay where they are, and confirmations arrive by email.
