Five business areas were consolidated onto one platform, with resident self-service rising month on month after go-live and staff hours redirected off booking and registration administration.

  • Household accounts. One account per household with dependants, emergency contacts, consent forms and medical notes carried forward, so a parent does not re-enter a child's details every season.
  • Waivers and consent. E-signed liability waivers with parent or guardian consent where a participant is a minor, held against the registration rather than in a filing cabinet.
  • Payment plans and fee assistance. Instalments on a schedule you set, and a fee assistance or scholarship route that applies your own eligibility policy without publishing who received it.
  • Transfers, credits and refunds. Move a participant between sessions, prorate a late join, issue a credit or a refund with the reason recorded, and have all of it reconcile to your general ledger.
  • Prerequisites and age rules. Swim level, age at start date, membership status or prior-season completion checked at registration rather than discovered on the first day.
  • Rosters and attendance. Class lists, attendance, instructor assignments and the medical notes an instructor is allowed to see, generated from the registration.

Can residents pay in instalments?

Yes. You set the plan, the schedule and which programs allow it. The balance and the schedule are visible in the household account, and outstanding amounts appear on your revenue reports rather than being tracked separately.

How does fee assistance work without exposing who applied?

Eligibility is applied to the household account and the discount flows through pricing. Staff see the assistance in the account, and your public reporting shows subsidy by program tier rather than by household.

Can we run drop-in as well as registered programs?

Yes. Drop-in, punch passes and memberships work alongside registered sessions, with the same customer record and the same point of sale.
