Most vendors in this market will not put a number in writing until contract, and several add an automatic increase every year. We price on the population you serve, include every business area, and hold the rate for the term. You get a written quote in five business days.

How the price is set

Priced on the population you serve, not on how many staff log in.

Seat-based pricing punishes you for training your front desk. Booking-volume pricing punishes you for succeeding. Per-facility pricing punishes the agencies with the most to gain. Population is a number you already know and nobody can game.

  • One annual subscription, sized to your jurisdiction's population band and confirmed in writing before you sign.
  • Every business area included. Community centers, athletic fields, libraries, chambers, programs, ticketing and internal rooms. Start with one, add the rest when you are ready, at no additional license fee.
  • Unlimited staff and resident accounts. Train everybody.
  • Booking volume is not metered. Growth in bookings does not increase your subscription.
  • Implementation is a fixed fee, quoted before you sign. Not time and materials. If the project runs long against our plan, that is our cost.
  • Integrations are scoped and priced openly, per named system, before you commit.

Payment processing

You decide who pays the processing fee.

This is the number that actually shows up in your budget. The processing rate is stated in your written quote, and you choose how it is borne, by facility or by transaction type.

Model A

Agency absorbs

The fee is deducted from your revenue. Residents see the adopted price and nothing else. Common for program registration and youth sports.

Model B

Renter pays a service fee

Added at checkout and shown as its own line item. Common for private facility rentals and non-resident bookings. Surcharging rules vary by state and province, so your counsel approves the setup.

Model C

Split

Any ratio you set, applied per facility class or rate class. Absorb it for residents, pass it through for commercial renters.

Card, ACH and e-check in the United States. Interac and pre-authorized debit in Canada. Counter, cash and check payments carry no processing fee and reconcile to the same ledger. OptimoGov does not take a percentage of your booking revenue on top of processing.

Contract terms

The terms that usually surface in month eleven.

Read these before you talk to anyone in sales. The sample agreement is available to your attorney before your panel shortlists.

Annual increase
None built in. Renewal is at the same rate unless your scope changes, and a scope change is priced and agreed in writing first.
Term
Three years standard, one year available. A one-year term carries no penalty rate.
Modules
All business areas included. Adding one later does not trigger a new license fee or restart your term.
Users and volume
Not metered. Staff accounts, resident accounts and booking counts do not change the price.
Implementation
Fixed fee, quoted before you sign.
Support
Included. 24/7 toll-free, email and ticketing, with a named account contact. Not a paid tier.
Exit
Full structured export of your data in a machine-readable format at any point, at no charge.
Availability
99.9% contracted, with service level terms in the agreement rather than on a marketing page.
Currency
US agencies are quoted in US dollars, Canadian agencies in Canadian dollars, with no exchange exposure mid-term.

Getting a number

    Your population, a rough count of the spaces you rent out, and the finance system the platform must reconcile to.

  2. We scope it

    A short call to confirm business areas, integrations and the season you want to go live in.

  3. You receive the quote

    Three-year subscription, fixed implementation fee, processing rate and the sample agreement, in one document.

  4. Your purchasing officer decides the route

    Quote-based purchase under threshold, formal RFP, piggyback on an existing award, or sole source where defensible. We support all four.

Pricing questions

Asked by finance directors and purchasing officers.

What is not included in the subscription?

Payment processing, at the rate stated in your quote. One-time implementation, quoted as a fixed fee. Integrations beyond those scoped in your quote, priced per named system. Optional hardware such as ticket scanners, card readers and kiosks.

Do you charge per facility or per site?

No. A city with 400 bookable spaces across 60 sites pays the same as a city with 40 spaces in the same population band.

Do you hold a cooperative purchasing contract?

Not at present. No Sourcewell, OMNIA Partners, NASPO ValuePoint, BuyBoard or TIPS award. Where your policy allows, we can support a piggyback off an existing competitively awarded contract, a state term contract, or a sole source justification. If a co-op vehicle is the only route your policy permits, tell us early and we will say honestly whether we can meet your timeline.

What if we only want one department live?

That is the most common starting point and it does not change your band. You pay for the platform, not the modules.

Will you match a competitor's price?

We quote one price per band and we quote everyone the same. If a competitor comes in lower, the useful conversation is about what is in their scope and what their renewal looks like in year four.
