Platform · Athletic fields and sports allocation
Seasonal field allocation, scored against your policy instead of argued in a room.
Allocating fields among competing leagues is the most political thing a recreation department does. OptimoGov was built in a market where seasonal ground allocation is a formal, defensible process, and that engine applies directly to US and Canadian field permitting.
Diamonds, rectangles, turf, courts, tracks, lights and the tournaments that cut across all of them.

How an allocation season runs
Open, score, publish, defend.
The reason allocation is contested is that the reasoning is invisible. When the policy is in the system, every league sees the same grid and the same basis for it.
- 01
Open an allocation window
Leagues submit requested hours, preferred fields, age divisions and registered participant counts through the portal before a stated deadline, with their documentation attached.
- 02
Score against your policy
Priority by resident participation share, youth versus adult, returning user history, co-sponsored status and prior-season compliance, applied as your adopted policy defines it.
- 03
Draft, review and publish
Build the season grid, see who is over or under their request, adjust, then publish every permit at once so all leagues see the allocation and the reasoning behind it together.
- 04
Roll a season forward
Copy last fall into this fall and work only the exceptions, instead of rebuilding a full season's schedule from scratch.
What it holds you to
Turf, risk and revenue.
Rural City of Wangaratta
Sporting grounds including ovals, courts and a velodrome sit alongside community centers, parks and reserves on one platform, replacing a patchwork of spreadsheets, paper forms, email threads and disconnected diaries, with the finance system connected for reconciliation.
- Certificate of insurance per league. Required limits, additional insured endorsement, expiry tracking and a block on permits where coverage has lapsed mid-season.
- Field rest and maintenance. Rest periods, renovation windows and maintenance closures that no booking can override, so the grounds crew and the booking calendar agree.
- Rainouts and in-season change. Closures, cancellations, makeup games and tournament holds applied across a whole season in one action, with every affected league notified automatically.
- Rate classes that reflect policy. Youth sports, nonprofit, adult, commercial, resident and non-resident priced separately, with lights and field prep as add-ons.
- Usage against allocation. Recorded no-shows and unused allocated hours feed next season's scoring, which is the only real answer to a league that books three fields and uses one.
- Tournaments across the portfolio. A tournament that takes six fields, a parking lot and a pavilion is one record, reviewed once, rather than nine separate bookings.
Questions
Asked on most calls.
If your panel needs an answer that is not here, send the question and we will publish it.
Can the allocation policy be ours rather than yours?
Yes, and it has to be. The scoring criteria and their weights are configured to your adopted policy. We do not ship a scoring model and ask you to adopt it.
What about school district and joint use fields?
Fields under a joint use agreement are set up with the agreement's terms, including who may book them, at what rate, and which party's approval is required.
How do casual single-date rentals fit with seasonal allocation?
Both run on the same calendar. Seasonal allocation holds its hours, and the remaining availability opens to casual booking, so a resident renting a diamond for a Saturday cannot take a league's slot.
