Mildura Rural City Council: Centralized management of community facilities and a regional sporting precinct

Facilities across the municipality and its sports precinct managed from a single platform, with most precinct bookings confirmed instantly, in continuous operation since 2021.

Two operations, one platform

Mildura runs two things that are usually run separately: community facilities spread across a large rural municipality, and a regional sporting precinct that behaves more like a venue business than a council service.

A precinct has different rhythms. Bookings are heavier, more of them are seasonal allocations to clubs, and the tolerance for a slow confirmation is lower because clubs are planning their own seasons around it. Running that on the same platform as the general community facility portfolio is only possible if the rules can differ per space while the customer record and the ledger stay shared.

What changed

Most precinct bookings are now confirmed the moment the resident or club submits them, because the eligibility, rate class and conflict checks happen automatically rather than in an inbox. Facilities across the municipality and the precinct are managed centrally instead of by whoever has the relevant spreadsheet.

The deployment has been in continuous operation since 2021, with the sporting precinct brought onto the same platform subsequently. That matters more than any first-year statistic. A booking system that is still the system of record several years later has survived turnover, fee schedule changes and at least one budget cycle.

What to ask us about on a call

How rules differ per space while the customer record stays shared. It is the mechanism that makes a mixed portfolio possible, and it is worth seeing rather than reading.

Why it is relevant to a North American agency

If your agency runs a sports complex or an arena alongside general community facilities, this is the closest analogue in our customer base. The relevant question is not the country, it is whether one platform can carry both a high-volume precinct and a dispersed community portfolio without one compromising the other.
